Terms & Conditions
Effective September 13, 2026. These terms apply to travel planning, group trips, reservations, invoices, add-ons, and other travel services arranged by Where’s Wendy Destinations (“WWD,” “we,” “us,” or “our”). Trip-specific booking pages and supplier terms may add requirements.
1. Agreement and trip-specific terms
By submitting a reservation, payment, signed authorization, or electronic acceptance, the traveler confirms that they have read and agreed to these terms and the terms shown for the selected trip. If a trip-specific term conflicts with this page, the trip-specific term controls for that booking. The person making a booking for others is responsible for sharing the terms with every traveler and obtaining their authorization.
2. Payments and 48-hour refund window
Each deposit, installment, final payment, add-on payment, upgrade payment, single supplement, and other trip-related payment is refundable only during the 48-hour period immediately following the time that specific payment is successfully processed. The 48-hour window applies separately to each payment.
After its 48-hour window expires, each payment is nonrefundable and nontransferable, except where applicable law requires otherwise. A written cancellation request must be received at info@wheres-wendy.com within the applicable 48-hour window. Processing fees, financing charges, insurance premiums, and supplier-imposed charges may be nonrefundable even during that period.
Prices and space are not guaranteed until the required payment has been received and the reservation is confirmed. Travelers are responsible for meeting every payment deadline. A late or missed payment may result in cancellation without refund of amounts whose refund windows have expired.
3. Klarna, Affirm, and other financing
Klarna, Affirm, and similar services are independent third parties. They determine eligibility, approval, payment plans, interest, fees, credit limits, repayment terms, and virtual-card availability. WWD does not control or guarantee financing approval.
Using financing does not extend a WWD payment deadline or change these terms. A financed payment is subject to the same 48-hour refund window and becomes nonrefundable and nontransferable afterward. Any authorized refund will be returned to the original payment method when possible. The traveler may remain responsible to the financing provider for interest, fees, or other charges under that separate agreement.
4. Cancellations, changes, and unused services
All cancellation and change requests must be submitted in writing to info@wheres-wendy.com. A request is effective when received, not when sent. Supplier penalties and the nonrefundable terms above apply.
No refund or credit is provided for unused accommodations, transportation, tours, meals, missed flights, late arrival, early departure, voluntary trip interruption, or removal for conduct, except where required by law or expressly authorized by the applicable supplier.
5. Roommates and occupancy
Double-occupancy pricing is based on two paying travelers sharing a room. Unless a trip expressly offers roommate matching, each traveler is responsible for providing a roommate. WWD does not guarantee a match and is not responsible for collecting money from a roommate.
If a roommate cancels, is not confirmed, or fails to pay, the remaining traveler is responsible for the single-occupancy price or another supplier-required adjustment. Occupancy changes and supplier increases must be paid by the deadline provided.
6. Travel insurance
Travel insurance is strongly recommended. Travelers should consider coverage for trip cancellation, interruption, medical care, evacuation, delays, baggage, and supplier default. Declining insurance means accepting the financial risk of circumstances that may not be refundable under these terms. Insurance benefits are determined solely by the insurer and policy.
7. Airfare, identification, and entry requirements
Unless expressly listed as included, airfare is the traveler’s responsibility. Travelers must verify names, dates, routes, baggage rules, connection times, and ticket restrictions before purchase. WWD is not responsible for missed flights, schedule changes, airline cancellations, or separate-ticket connection failures.
Each traveler is responsible for a valid passport, visas, vaccinations, health documentation, entry authorizations, and any other requirements for every destination and transit point. Denied boarding or entry does not create a right to a refund.
8. Health, accessibility, and conduct
Travelers must determine whether an itinerary is appropriate for their health, mobility, and other needs and must disclose requested accommodations early enough for suppliers to review them. Accessibility and special requests cannot be guaranteed.
Travelers must follow applicable laws, supplier rules, safety instructions, and reasonable group standards. Threatening, abusive, discriminatory, unsafe, or seriously disruptive conduct may result in removal from an activity or trip without refund, with resulting expenses paid by the traveler.
9. Suppliers and limitation of responsibility
WWD acts as an independent travel advisor arranging services provided by airlines, hotels, tour operators, transportation companies, insurers, and other independent suppliers. WWD does not own or control those suppliers and is not responsible for their acts, omissions, schedule changes, service failures, bankruptcy, or safety practices, except to the extent liability cannot legally be excluded.
10. Itinerary changes and events beyond control
Itineraries, accommodations, transportation, and activities may change because of availability, weather, safety, government action, labor disputes, public-health events, natural disasters, civil unrest, supplier action, or other circumstances beyond reasonable control. WWD may make reasonable substitutions. Any refund or credit is limited to amounts actually recovered from suppliers, except where applicable law requires otherwise.
11. Chargebacks and payment disputes
Travelers agree to contact WWD promptly about billing concerns and provide a reasonable opportunity to investigate. Initiating a chargeback does not cancel these terms or create a refund right. WWD may provide the booking agreement, payment history, supplier commitments, and communications when responding to a dispute. Nothing here limits rights that cannot legally be waived.
12. Photos and media
Group activities may be photographed or recorded for trip memories and WWD marketing. A traveler who does not want their identifiable image used for marketing should notify info@wheres-wendy.com in writing before departure. WWD will make reasonable efforts to honor the request.
13. Privacy and electronic communications
WWD collects information reasonably needed to arrange travel, communicate with travelers, process payments, and meet supplier requirements. Information may be shared with suppliers and service providers as needed to fulfill a booking. By providing an email address, the traveler agrees to receive booking documents, notices, reminders, and updates electronically.
14. Governing law and severability
These terms are governed by the laws of the State of Maryland, without regard to conflict-of-law principles. To the extent permitted by law, disputes will be brought in a court of competent jurisdiction in Prince George’s County, Maryland. If any provision is found unenforceable, the remaining provisions continue in effect.
